1. Information We Collect

The information we process depends on the service you use. It may include:

• Name, email address, account details and communication preferences
• Business information supplied in an Enterprise enquiry, such as organisation name, role and workflow needs
• Mailbox content needed to provide Private Email, including message bodies, headers, attachments, contacts, tasks and preferences
• OAuth access credentials issued by a connected email provider; we do not ask for or store your email password
• Service usage, security and diagnostic logs
• Payment and billing information, if applicable, processed through third-party payment providers

2. How We Use Your Information

We use the information we collect to:

• Assess access requests, create and administer accounts and provide support
• Sync, search, organise and display connected email
• Classify messages, prepare drafts, track follow-ups and perform actions you approve
• Communicate with you about your account and enquiries
• Send marketing communications (with your consent)
• Protect the service, investigate faults and prevent misuse
• Comply with legal obligations

3. AI Processing and Connected Mailboxes

Private Email may send bounded message context and your instructions to Z.AI to provide AI-assisted features such as classification and drafting. Connected Gmail and Microsoft accounts are accessed through provider-authorised OAuth permissions. Drafting does not itself authorise a message to be sent.

You can disconnect a mailbox from the service. Disconnecting removes the locally stored provider client secret, refresh token, access token and queued sends associated with that connection. Messages already synced into the service may remain until the related account data is deleted or an erasure request is completed.

4. Data Security

We use technical and organisational measures intended to protect personal data. Private Email stores provider credentials and message bodies encrypted at rest. No internet service can guarantee absolute security, so please contact us promptly if you believe an account has been compromised.

5. Your Rights

Under UK GDPR, you have the right to:

• Access your personal data
• Rectify inaccurate data
• Request erasure of your data
• Object to or restrict processing
• Data portability

7. Data Retention

We keep personal data only for as long as it is needed to provide the service, meet legal obligations, resolve disputes and protect our systems. Typical retention includes:

• Lead inquiries: 24 months from last interaction
• Service and mailbox data: while the account is active and for a limited period afterwards where needed for support, security or legal reasons
• Financial records: for the period required by tax and accounting law
• Marketing preferences: until consent is withdrawn, with a suppression record retained where needed to honour that choice

When a retention period ends, data is deleted or anonymised unless a legal requirement applies.

8. Data Erasure Requests

Under UK GDPR Article 17, you have the right to request erasure of your personal data.

To request data erasure:

• Email sales@fastagent.co.uk with subject line "Data Erasure Request"
• Include your full name and the email address associated with your data
• We will respond within 30 days confirming the action taken

Note: We may retain certain data where required by law (e.g., financial records for tax compliance) or where we have a legitimate legal ground to do so.

9. Service Providers and Sharing

We may disclose the minimum information needed to:

• Google or Microsoft when you connect and use a supported mailbox
• Z.AI when an enabled AI feature needs bounded message context or instructions
• Hosting, email, security and payment providers that support delivery of the service
• Legal authorities where required by law
• Business partners (with your explicit consent)

We do not sell your personal data to third parties.

1. Services

FastAgent Ltd provides AI-assisted Enterprise automation and personal services, including Private Email. Features, supported providers and availability may vary by edition and may change as early-access services develop. An access request does not create an account or a payment obligation.

2. User Responsibilities

Users are responsible for:

• Providing accurate information
• Maintaining account security
• Confirming AI-generated drafts and outputs before relying on or sending them
• Having the rights and permissions needed to connect accounts and process the data they contain
• Using services in compliance with applicable laws
• Not misusing or attempting to compromise our systems

3. Intellectual Property

All content, features, and functionality of our services are owned by FastAgent Ltd and protected by intellectual property laws.

4. AI-Assisted Outputs and Availability

AI-generated classifications, summaries and drafts can be incomplete or incorrect. You remain responsible for reviewing important output and approving external actions. We may suspend features for maintenance, security or misuse. Nothing in these terms excludes liability that cannot lawfully be excluded.

5. Limitation of Liability

To the extent permitted by law, FastAgent Ltd is not liable for indirect or consequential loss arising from use of the service. Any edition-specific commercial agreement may set out additional terms.

6. Governing Law

These terms are governed by the laws of England and Wales.
